This Privacy Policy applies to all products and services offered by Branchfire, Inc. (doing business as “Folia”), including the iAnnotate and Folia product families (collectively, the “Services”). For ease of reference, “Folia” in this Policy refers to Branchfire, Inc. (d/b/a Folia).

We respect your privacy and are committed to protecting your information. This Policy explains how data is collected, used, shared, and safeguarded across our product lines.

Information We Collect

iAnnotate

  • Local Data: Documents, annotations, and related content remain on your device or in third-party storage services you connect (e.g., iCloud, OneDrive, Google Drive, Dropbox).

  • Conversion Service (Consumer): When opening Microsoft Office files, iAnnotate Consumer may use a backend conversion service to generate PDFs. Files are sent encrypted, converted, returned encrypted, and immediately deleted from our servers after processing.

  • Conversion Service (Enterprise): By default, Office-to-PDF conversion in iAnnotate Enterprise occurs on-device. Administrators may optionally enable the backend converter for higher fidelity formatting and font preservation.

Folia

  • Account Information: Email address, name, and other registration details you provide.

  • Usage Data: Documents, annotations, metadata, and activity logs needed to deliver cloud-based features. We may also collect device type, operating system version, and app version information for compatibility and performance.

  • Enterprise Deployments: Depending on configuration, data may be stored in isolated, dedicated environments controlled by the enterprise customer.

  • Document Handling: Folia does not associate your personal identity with the contents of your documents or annotations.

Folia Insiders

  • Additional Data: If you join the Folia Insiders early access/beta program, we may collect extra usage data, performance information, and feedback to improve our products.

  • Freebies & Offers: Participants may receive promotional access or free features.

  • Opt-In/Opt-Out: Participation is voluntary and can be ended at any time by contacting help@folia.com.

Purchases

  • Payment Data: When you purchase a license or subscription directly from Folia, we collect billing details necessary to process your transaction.

  • Third-Party Processors: Payments are handled by providers such as Stripe, Apple App Store, or Google Play. We do not store your full credit card number.

  • Records: We may retain transaction identifiers, subscription details, and billing contact information for account management and legal compliance.

Support & Troubleshooting

If you contact Folia for technical support, request assistance, or participate in user forums, we may collect your contact details, device information, and communications necessary to resolve your issue.

How We Use Information

iAnnotate

  • To provide local document viewing and annotation features.

  • To perform Office-to-PDF conversion (if enabled), with encrypted transfer to our backend conversion service. Converted files are deleted from our servers immediately after processing.

Folia

  • To deliver document storage, annotation, sharing, and collaboration features.

  • To support enterprise requirements such as audit trails, data segregation, and access controls.

  • To improve performance, reliability, and security.

Folia Insiders

  • To analyze feature usage and product performance.

  • To communicate about beta features, feedback opportunities, and special promotions.

Purchases & Marketing

  • To process transactions and manage your subscriptions.

  • To send transactional emails (e.g., receipts, account notices).

  • If you opt in, to send product updates, newsletters, or promotional offers. You can unsubscribe at any time. When you sign up for mailing lists, we may also collect limited device information to tailor communications.

Disclosure of Information

We do not share personal information with companies, organizations, or individuals outside of Folia except in the following cases:

  • With Consent: We will share personal information with third parties when we have your consent.

  • For External Processing: With trusted service providers who process data on our behalf under strict confidentiality and security obligations.

  • For Legal Reasons: When required to meet applicable law, regulation, legal process, or enforceable government request.

  • Corporate Transactions: If Folia is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction.

Data Retention and Deletion

We retain information only for as long as necessary to deliver the Services or as required by law.

  • Folia: Data is stored for the duration of your account. We delete it upon account closure or by verified request, unless retention is legally required.

  • iAnnotate Conversion Service: Files sent for Office-to-PDF conversion are immediately deleted from our servers after processing.

  • Folia Insiders: Additional beta data is retained only while you participate. Once you opt out, we cease Insiders-specific collection.

  • User Requests: You may request deletion of your data anytime by contacting help@folia.com. Upon verification, we will delete or anonymize your data unless retention is legally required.

Security

We use industry-standard encryption (in transit and at rest) and strict access controls. Data is hosted on secure cloud providers such as Amazon Web Services (AWS). We use SSL/TLS for data in transit, encryption at rest, and protections against unauthorized access or denial-of-service attacks. Enterprise customers may configure additional protections such as isolated storage environments.

International Data Transfers

If you access our Services from outside the United States, information may be transferred, processed, and stored in the United States or other jurisdictions where we operate.

Children’s Privacy

Folia’s Services are not directed to children under 13. We do not knowingly collect personal information from children.

Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with a revised effective date. We will not reduce your rights under this Privacy Policy without your explicit consent.
